How To Begin A Workplace Environment Overhaul
It does not make a difference what environment a person is working in; organization really matters. If you are in an office, things like filing cabinets, hanging files, and binders will help keep the chaos at bay. In an warehousing facility, mezzanine shelving, pallet racking, and sturdy storage systems are going to work best. If effort is not put into action in the early stages things will continue to get more and more out of control. With each month that passes, it gets more difficult to gain control of the mess and get things into shape. However, if you take small steps even the most disorganized of work environments can be brought under control. With the right tools, the right planning, and the right motivation, all work environments can be pleasant and organized.
If you are beginning anew, get a plan going right away. Moving to a new office means giving everyone a fresh start. Beginning a new business allows you to institute the organizing efforts you think will work best. In either case, getting the group on board with your plan is necessary. You will need to communicate your plans with everyone in the workplace. Monitor their attitude to make sure they agree with the plan. Ask them for feedback if you think they may have suggestions. Even if it is more challenging for some employees than others, they can work to encourage each other. Beginning with a clean, organized environment is sometimes a great motivating factor.
After the efforts are in motion, allow employees some freedom in their own areas. Just as bosses should avoid micromanaging, they should refrain from bothering when employees are organizing their own personal space. Insist only that the work area be presentable and that the employee be comfortable and capable of performing in their environment. If they would like to make their area homey once it is organized, allow this! When employees bring in pictures from home and mementos from their work experiences, it means they have a feeling of belonging. It is a symbol of their comfort in their workspace and they want to be there.
Even the best organization plans will need monitoring. Every now and then, check in with employees to see how they feel things are working. Check things yourself. Do the employees seem comfortable with the system or are they confused and frustrated? Do you notice hang in there. Sometimes just difficult if you have spent months designing and implementing the perfect plan, but part of that perfection should be adjustments. You should not assume a system is going to work automatically on its own. Effective organization in the workplace takes time. Set your goal and enjoy the results.
